Presenter Guidelines

Abstract Submission Information

Abstract submissions will be accepted during the registration process. If you have already registered for the conference and wish to submit an abstract, please use your login information created at the time of registration.

Abstract submission has been designed to take only plain text information; no figures or diagrams are to be submitted or special characters used.

Abstracts are to be submitted using the following fields:

  • Abstract Title: (Limit of 150 characters)
  • Introduction: (Limit of 400 characters)
  • Methods: (Limit of 400 characters)
  • Results: (Limit 900 characters)
  • Novel Aspect: (Limit of 150 characters)
  • Contributing Authors: (no limit)
Please ensure that all your information is noted in the appropriate fields. All information is to be submitted through the conference website. The organizers will not be accepting separate files.

Speakers / Talk Preparation

  • Invited speakers will have 30 minutes for presentations. Please plan your talk for 27 minutes to allow for introduction and questions.
  • Speakers selected from contributed oral abstracts will have 20 minutes for presentation. Please plan your talk for 17 minutes to allow for introduction and questions.
  • Prepare your presentation with PowerPoint and use the 4:3 screen resolution. Most session rooms are LARGE – seating 400 + people. Be sure your visuals are clear and very legible.
  • Take your presentation to the Speaker Ready Room at least one day prior to your talk to upload your presentation to the AV network. You may not load presentations in the session room. Technicians will be in the Speaker Ready Room according to the schedule printed in the program.
  • Each parallel session room will have a PC desktop running Windows 7, Office 2010 and a Mac laptop with the latest OS. Be sure to test your presentation in the Speaker Ready Room.
  • Arrive in session room 30 minutes before the start of your session to introduce yourself to the session chair.

Please set up your posters on Monday, August 22nd between the hours of 7:30 – 8:30am. Posters will be displayed all day Monday and Tuesday.

Poster Boards

Each author will be provided one board 7 feet 10 inches across (239 cm) and 3 feet 10 inches high (117 cm). Each board will be numbered on the upper left corner. Be sure you place your presentation on the board number for your poster that appears in the final program that you will receive at the conference. Pushpins for poster mounting and envelopes for business card collection will be supplied.

Title Banner

The title banner should be approximately 4-6 feet long (122-183 CM). Lettering should be at least 3/4 to 1 inch high (72 pt. bold). The banner should include the author(s) and affiliation(s). One logo per institution may appear in the title only.

Handouts

Authors are encouraged to provide handouts, e.g., preprints, extended abstracts, copies of poster panels, etc. No hardware, computers, books, accessories, or saleable items may be displayed.
